More often, policies reach their review dates, staff details change, reports remain labelled for the previous academic year or a document is replaced without checking whether the new version is accessible.<\/p>\n\n\n\n<p>The solution is to treat website compliance as a calendar of recurring responsibilities, not as an annual website audit.<\/p>\n\n\n\n<p>The dates below apply to schools and academy trusts in England. Requirements differ according to school type, phase, admissions responsibility and funding received, so each setting should maintain its own tailored checklist. You can download Greenhouse\u2019s free <a href=\"https:\/\/www.greenhouseschoolwebsites.co.uk\/ofsted-checklist\/\">statutory and Ofsted school website requirements checklist<\/a> to help identify the requirements that apply to your school.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Before pupils return: complete a September reset<\/h2>\n\n\n\n<p>The beginning of the academic year is the natural point to check information that refers to the \u201ccurrent academic year\u201d or may have changed over the summer.<\/p>\n\n\n\n<p>Review:<\/p>\n\n\n\n<ul>\n<li>Headteacher, chair of governors and staff contact details<\/li>\n\n\n\n<li>SENCO and careers-lead details<\/li>\n\n\n\n<li>School opening and closing times<\/li>\n\n\n\n<li>Term dates and inset days<\/li>\n\n\n\n<li>Uniform information and suppliers<\/li>\n\n\n\n<li>Curriculum content for each year and subject<\/li>\n\n\n\n<li>Careers programme information<\/li>\n\n\n\n<li>Governance membership and committee structure<\/li>\n\n\n\n<li>Policy review dates<\/li>\n\n\n\n<li>Accessibility statement accuracy<\/li>\n\n\n\n<li>Links to external services and documents<\/li>\n<\/ul>\n\n\n\n<p>Not everything on this list carries a fixed September deadline. However, leaving last year\u2019s information visible creates avoidable risk and a poor experience for parents.<\/p>\n\n\n\n<p>Secondary schools must publish specified information about their careers provision for the current academic year, including the careers lead\u2019s contact details, a programme summary, its impact-assessment arrangements and a review date. Maintained schools are subject to an explicit publishing requirement; the DfE describes much of the equivalent academy information as information academies \u201cshould\u201d publish, alongside the statutory provider-access statement. <a href=\"https:\/\/www.gov.uk\/guidance\/what-maintained-schools-must-publish-online\">DfE guidance for maintained schools<\/a> and <a href=\"https:\/\/www.gov.uk\/guidance\/what-academies-free-schools-and-colleges-should-publish-online\">DfE guidance for academies<\/a><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">31 August: check in-year admissions information<\/h2>\n\n\n\n<p>Academy trusts and foundation or voluntary-aided maintained schools responsible for their own admissions must publish details of how they will manage in-year applications by 31 August each year.<\/p>\n\n\n\n<p>Where the school or trust manages applications, the website must provide the application form and any necessary supplementary information. Where the local authority manages them, the website should direct parents to the relevant local-authority scheme.<\/p>\n\n\n\n<p>Community and voluntary-controlled schools should instead publish the appropriate local-authority link.<\/p>\n\n\n\n<p>This is an easy deadline to overlook because it falls during the summer holiday. Assign ownership before the end of term and schedule the website update in advance. <a>DfE maintained-school admissions requirements<\/a><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Autumn term: review annual and changing information<\/h2>\n\n\n\n<p>Some information does not have a universal calendar deadline but must be reviewed annually or updated when circumstances change.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">SEND information report<\/h3>\n\n\n\n<p>Schools and academy schools must publish an SEN information report. The DfE says it should be updated annually, with changes made as soon as possible during the year.<\/p>\n\n\n\n<p>Do not simply change the date on the existing document. Confirm that the report still accurately describes:<\/p>\n\n\n\n<ul>\n<li>Admission arrangements for disabled pupils<\/li>\n\n\n\n<li>How disabled pupils are protected from less favourable treatment<\/li>\n\n\n\n<li>Facilities supporting access<\/li>\n\n\n\n<li>The school\u2019s accessibility plan<\/li>\n\n\n\n<li>The support and provision currently available<\/li>\n<\/ul>\n\n\n\n<p><a href=\"https:\/\/www.gov.uk\/guidance\/what-maintained-schools-must-publish-online#admission-arrangements\">DfE SEND publication requirements<\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Equality information<\/h3>\n\n\n\n<p>Schools and academies must publish information demonstrating compliance with the public sector equality duty and update it every year. Equality objectives must be updated at least every four years.<\/p>\n\n\n\n<p>These are separate responsibilities. An up-to-date set of equality objectives does not remove the need to refresh the school\u2019s annual equality information. <a href=\"https:\/\/www.gov.uk\/guidance\/what-maintained-schools-must-publish-online#special-educational-needs-and-disabilities-send\">DfE public-sector equality duty requirements<\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Governance information<\/h3>\n\n\n\n<p>Membership, roles, attendance records and relevant interests can all change during the year. Governance information should therefore be checked whenever a governor or trustee joins, leaves or changes role\u2014not held over until the next general website review.<\/p>\n\n\n\n<p>For a multi-academy trust, this is best managed centrally, with a clearly identified source of truth rather than separate spreadsheets and web pages maintained by different people.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">31 December: publish the pupil premium strategy<\/h2>\n\n\n\n<p>Schools and academies receiving pupil premium must publish their strategy statement by 31 December each year using the DfE template.<\/p>\n\n\n\n<p>Even where spending is planned over three years, the published statement must still be updated annually to show current-year activity and the impact of the previous year\u2019s spending. <a href=\"https:\/\/www.gov.uk\/guidance\/what-academies-free-schools-and-colleges-should-publish-online#public-sector-equality-duty\">DfE pupil-premium publication requirements<\/a><\/p>\n\n\n\n<p>A sensible process is to agree the content internally during the first half of the autumn term, leaving time for approval, accessibility checks and publication before the Christmas break.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">31 January: academy trust accounts<\/h2>\n\n\n\n<p>Academy trusts must publish their audited annual report and accounts by 31 January each year.<\/p>\n\n\n\n<p>The document should be placed somewhere genuinely easy to find. Publishing a file technically satisfies little if parents, staff and other stakeholders cannot locate it through the website\u2019s navigation or search. <a href=\"https:\/\/www.gov.uk\/guidance\/what-maintained-schools-must-publish-online#pupil-premium\" data-type=\"link\" data-id=\"https:\/\/www.gov.uk\/guidance\/what-maintained-schools-must-publish-online#pupil-premium\">DfE academy publication requirements<\/a><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">28 February and 15 March: admissions and appeals<\/h2>\n\n\n\n<p>Academy trusts and maintained schools that act as their own admission authority should schedule two further deadlines:<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><thead><tr><th>Deadline<\/th><th>Information to publish<\/th><\/tr><\/thead><tbody><tr><td>28 February<\/td><td>The timetable for organising and hearing admission appeals<\/td><\/tr><tr><td>15 March<\/td><td>Admission arrangements for the following year\u2019s normal September intake<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>The published arrangements must remain available throughout the academic year in which offers are made. Replacing one year\u2019s document with the next can therefore be a mistake if both remain relevant.<\/p>\n\n\n\n<p>Schools should clearly label each document with the applicable intake year\u2014for example, \u201cAdmissions September 2027\u201d\u2014rather than relying on an upload date or an ambiguous filename. <a href=\"https:\/\/www.gov.uk\/guidance\/what-academies-free-schools-and-colleges-should-publish-online#admission-arrangements\">DfE admissions and appeals requirements<\/a><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">31 July: PE and sport premium reporting<\/h2>\n\n\n\n<p>Schools and academies receiving PE and sport premium funding must publish the required information by 31 July each year.<\/p>\n\n\n\n<p>This includes:<\/p>\n\n\n\n<ul>\n<li>Funding received<\/li>\n\n\n\n<li>How it has been or will be spent<\/li>\n\n\n\n<li>Impact on participation and attainment<\/li>\n\n\n\n<li>How improvements will be sustained<\/li>\n\n\n\n<li>Required Year 6 swimming and water-safety percentages<\/li>\n<\/ul>\n\n\n\n<p>If a school publishes a downloaded copy of its digital return, the DfE says it must be converted to HTML to meet accessibility requirements. Uploading the downloaded file as a PDF is not sufficient. <a href=\"https:\/\/www.gov.uk\/guidance\/what-maintained-schools-must-publish-online#pe-and-sport-premium\">DfE PE and sport premium requirements<\/a><\/p>\n\n\n\n<p>Because the deadline falls after many schools have finished teaching, publication and approval should be planned well before the final week of term.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Accessibility is part of compliance, not a separate exercise<\/h2>\n\n\n\n<p>Having the correct information online is only half the job. It must also be accessible.<\/p>\n\n\n\n<p>Public-sector websites are expected to meet WCAG 2.2 AA and publish an accessibility statement explaining the website\u2019s compliance status, known problems and routes for requesting alternative formats. <a href=\"https:\/\/www.gov.uk\/guidance\/accessibility-requirements-for-public-sector-websites-and-apps\">Government accessibility guidance<\/a><\/p>\n\n\n\n<p>Common document problems include:<\/p>\n\n\n\n<ul>\n<li>Scanned PDFs with no usable text<\/li>\n\n\n\n<li>Missing document headings<\/li>\n\n\n\n<li>Tables without appropriate structure<\/li>\n\n\n\n<li>Poor colour contrast<\/li>\n\n\n\n<li>Meaningful images without alternative text<\/li>\n\n\n\n<li>Vague link text such as \u201cclick here\u201d<\/li>\n\n\n\n<li>Accessibility statements that no longer describe the live website<\/li>\n<\/ul>\n\n\n\n<p>An annual automated test is not enough. Accessibility should be checked whenever important content or documents are added.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Turn the checklist into an ongoing process<\/h2>\n\n\n\n<p>Knowing what should be published is only the starting point.
